2010 CHAIRMAN'S REPORT Good afternoon everyone and thank YOU for coming to the West Australian Arabian Horse Association 2010 Annual General Meeting. It is fantastic to have seen yet another year of a successfully managed organization and subsequently successfully run shows here in WA. Your committee of workers has again put in a massive amount of work and hours to ensure the highest level of world's best judges, classes, trophies, awards and the best interests have once again been provided to you, the members. The finances, member's registrations and show results of the Association have been accurately recorded and provided with absolute perfection after hundreds of hours of unpaid toil and literally hard slog that is contributed by Mrs Sheila Weigall. I extend my gratitude and appreciation to Sheila and her husband Tim as many members are unaware that Sheila does all this work, as well as feed and accommodate the judges in her own home at her own expense whilst not even owning or having any specific interests in Arabians except for a genuine love of the breed and desire to keep our organization at the highest level. This is one of the reasons our costs have been kept to a minimum. I am sure she is actually just checking up on me but I hope she will continue on the committee for some time yet, especially whilst I am involved. The State Championship Show was again brilliantly managed and run by Tami Mepham with outstanding results with her usual added extra big and small touches she blends into this event. This show had terrific entry numbers as all our shows have this past year, which is amazing as the commjttee is constantly under criticism and pressure to provide bigger and better than previously without any extra assistance or member contributions. I have obviously put too much pressure on Tami this year as she has decided not t.o re- nominate for the committee and is taking a break but I would like to express my gratitude for her direction in managing shows and also personally with her support, advise and the encouragement she has provided me in her role as Vice Chairman for the last couple of years.
Even with her own personal health issues, in her position as Secretary, Leanne White has always made herself available and recorded and compiled our very important records and been a wonderful, friend, confidante and support to me. Again this past year, our website has been kept in fantastic order and always bright, fresh and up to date by Lynne Bunce even though members are not that forthcoming with information, she seems to be able to source what is going on in the wider horse community where Arabians are involved. This leads on to Kathi MacDonald who has provided some fabulous newsy and timely newsletters this year and sadly, for very selfish reason,(happens to be pregnant) has decided to resign from the committee which leaves this role open for someone else to pick up this demanding and sometimes frustrating task as again it is a matter of searching for newsworthy items -not always easy but our thanks go to Kathi for setting such a high standard.
One of the most difficult things for any committee, and this one is no exception, is to recruit and retain people to volunteer for some of the less renowned and recognized roles. Some of these people, who not only travel hundreds of kilometers at their own expense and to then agree to make and support decisions and come up with new ideas that are not always unanimously agreed upon, still come back again and again each month and also to the shows providing many hours support and each must be congratulated. Pam Smit arrives at Shows on the Friday and is almost always one of the last to leave having run back and forward continually for both days. Lesley-Ann Hoare provides a very well received commentary for nearly all the hours of our shows and carries out this onerous responsibility with skill and professionalism with only an occasional break and support by other committee family members. Gretchen Copeman, Melissa Ellery and Eloise Paust -each is a wonderful ambassador with unlimited support and guidance for our youth and they attempt to keep me on track with rules and regulations. These three ladies have been an authority when it comes to dressage, specific class rules and individually provide discussion with that specialist perspective to keep our decisions accurate and appropriate to our shows. With all this background, 2009 saw more youth classes and encouragement to our younger competitors. Prizes were given out, encouragement awards provided and generally more opportunities for the younger owners to achieve at their level and many circumstances, higher levels. I would like to acknowledge our sponsors, supporters and volunteers. Without these people our shows would not be the successes they currently are. The number of horses entered has exceeded my expectations at each show and it is gratifying to see this as the amount of work done behind the scenes is always enormous and it is very pleasing that in these times of having to watch our personal budgets, owners and breeders still bring out their beautiful Arabians. One of the most arduous and grueling jobs is 'trying' to get members to fill out their entry forms correctly. I have raised this point in every newsletter, AGM report and website article and still, there are more incorrect entries than correct ones received for every show. Is there is a solution? One committee member commented this year that she should just come and volunteer to assist at shows and she would be reimbursed some of her travel costs and then would not have to come to monthly meetings nor feel compelled to commit to work at shows. I feel incredibly fortunate that this current committee see past volunteers.
They say if you want a job done, give it to a busy person. I find it pertinent to publicly thank Cheryl Edwards for the time, effort and expense she contributes to the making of the garlands for the Trilogy. They are amazing, of world-class quality which again contributes to the high standards provided for our shows and members. Of course, there are many others who play part or provide a function at our shows and I thank them all.
2009 saw the reintroduction of the Performance Horse Awards and we had a good number of entries which saw some amazing results of both Purebred, Derivative and Youth winners out in open classes competing and defeating some other very good horses. Hopefully there will be even more entered this year. We have training days planned for 2010 which should cater for all levels and disciplines of our members. Again this year we will not be holding the Night of Stars. With the increased ground and stabling fees set for every horse, it is extremely difficult to expect exhibitors to not only donate their time but also their money to fund raise for our Association and due to expert book keeping and being able to cover most expenses, we have deemed it unnecessary to provide this event. It does also create a huge workload for committee. At this time we are able to provide the highest quality sashes, trophies and judges with the money we have. In retrospect absolutely everything I have asked to be done by my fellow committee members has been carried out without question and with no reward and many times not enough individual thanks, but still done competently and of superb standard.
On a personal note, again I would like to thank my family for putting up with my folding schedules and newsletters on the dining room table and stuffing envelopes while they are trying to watch television and my many hours tapping away on the laptop. I do appreciate their support and patience with me even when I amgrumbling about the errors in the programmes and other associated problems. I look forward to another successful year in 2010 of the West Australian Horse Association and hope you all enjoy attending our shows and supporting your committee and Association, and thank you for attending today. TREASURER'S REPORT 2010 A.G.M w .A.A.H.A. remains in a very strong financial position at the end of year 2009. The Bankwest Gold Cash Management Trust did not earn a lot of interest in 2009 due to the general global downturn so in October 2009 Committee approved my suggestion to transfer the funds to a Term Deposit which does pay a better rate of interest. Your Committee ran three shows during the year which all came out in front financially, due, in part to the savings in judges food and accommodation costs. These shows, all completely different in format were as popular as ever and have our breed well to the forefront as far as international judges, very special sashes and trophies and stunningly beautiful garlands. You will see from the Income and Expenses statement that the Association covered expenses bya margin of $2,359.50 for the year. We have been able to maintain the subscription rate at $40 General/Family and $25 Junior and this has remained unchanged for many years. The total of subscriptions received must cover a number of expenses including A.H.S.A. Affiliation and Insurance, Newsletter costs, Office Expenses, Phone and Stationery, H.O. y .Trophies and Sponsorship of our breed at other shows. Currently this subscription income does not cover these expenses.
We received a letter from the Australian Tax Office stating that our tax returns were overdue for the years 2005/6/7/8. This came as something of a surprise as we had been given tax exemption in August 1992. My phone call to the Tax Office found that WAAHA had applied for an ABN in November 1999 and to them, this is an indication of an intention to trade. Checking with past Committee members for that period indicated that there was some discussion about an ABN but no- one could recall that an application had been made. Fortunately the Tax Office was prepared to accept my assurance that WAAHA is a 'not for profit' organisation and therefore future tax returns should not be necessary. The ABN was cancelled as 'never operated' but could be re-instated should the need arise.
Your Committee is made up of very dedicated volunteers who give an enormous amount of time and effort and they are supported at shows by a group of equally dedicated volunteers who often have little to do with our breed but are happy to help us on our busiest of days.
